Rooz Spice Trading Co. (“we”, “us”, “our”) respects your privacy. This policy explains in plain language what we collect through this website and by phone or email, what we do with it, and how you can ask us to change or delete it. We are a small family business; we do not sell personal data and we never will.

2. Information we collect
Information you give us
- Contact details — name, business name, email address, phone number and shipping address when you place an order, request a quote or use a form on this site.
- Order information — the products you buy, quantities, delivery preferences and any notes you add.
- Correspondence — the content of emails, form submissions and notes we make after a phone call.
- Newsletter preferences — your email address and the cooking context you select if you subscribe to the mill letter.
Information collected automatically
- Technical data — IP address, browser type and version, device type, operating system, referring page and the pages you view on this site.
- Cookie data — described in detail in our Cookie Policy. Analytics and advertising cookies are only set after you consent through the banner.
We do not knowingly collect information from anyone under 16, and this site is not directed at children.
3. Why we use it, and our legal basis
- To fulfil orders and provide quotes — necessary to perform our contract with you.
- To answer enquiries and provide support — our legitimate interest in running a responsive business, or performance of a contract.
- To send the mill letter — your consent, withdrawable at any time.
- To measure website performance and advertising — your consent, given through the cookie banner.
- To keep accounting, tax and food-safety traceability records — compliance with our legal obligations.
- To prevent fraud and protect the site — our legitimate interest in security.
4. Advertising and analytics partners
With your consent we use analytics and advertising services, which may include Microsoft Advertising (including the Microsoft UET tag and Clarity), Google Analytics and Meta advertising tools, to understand how visitors find and use this site and to measure the effectiveness of our advertising. These providers may set cookies or similar identifiers and may process technical data such as IP address, device information and pages viewed. We do not share your name, email address or order contents with advertising partners for their own marketing purposes.

5. Who else sees your information
We share the minimum necessary with service providers who work on our behalf under contract: our web host, our email provider, payment processors, shipping carriers (USPS, UPS and freight partners), our accountant, and the analytics and advertising providers listed above. We may also disclose information where the law requires it, or to establish or defend a legal claim. We never sell or rent personal information, and we do not share it with data brokers.
6. International transfers
We operate from the United States and store data there. Some of our providers may process data in other countries; where that happens we rely on the provider's standard contractual clauses or equivalent safeguards.
7. How long we keep it
- Order and invoice records: seven years, for tax and traceability.
- Enquiries that do not become orders: 24 months.
- Newsletter subscriptions: until you unsubscribe, plus 30 days.
- Website analytics: up to 26 months in aggregated form.
- Cookie consent records: 12 months, so we can prove your choice.
8. Your rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected or deleted, to object to or restrict certain processing, to receive a copy in a portable format, and to withdraw consent at any time. California residents may additionally request disclosure of categories of information collected and may opt out of any “sale” or “sharing” of personal information — we do not sell or share personal information as those terms are defined by the CCPA/CPRA. We will not discriminate against you for exercising any right.
To exercise a right, email welcome@roozspices.com with the subject line “Privacy request”. We respond within 30 days and may ask a question or two to confirm your identity.
9. Security
This site is served over HTTPS. Access to order records is limited to the people who need it, protected by individual accounts and multi-factor authentication where the platform supports it. Payment card details are handled by our payment processor and never stored on our systems. No system is perfect, but if a breach affects your data we will notify you and any required authority without undue delay.
10. Do Not Track
This site honours your cookie banner choice. Because there is no consistent industry standard for browser Do Not Track signals, we do not respond to them separately, but we do respect Global Privacy Control signals where our provider supports them.
11. Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes will also be announced on the home page for at least 30 days.
